SNEWGA Member Information

All SNEWGA Invitationals shall be limited to SNEWGA members.  If you belong to multiple SNEWGA clubs, you are prohibited from competing in an Invitational at the club from which you are a SNEWGA member.  If the field is not filled, the host club many hold a concurrent tournament for the host club members and non-SNEWGA members, but these individuals may not compete for SNEWGA prizes.  SNEWGA members have preferred starting times.

 

If you are unable to play after you have made reservations for any invitational, you must immediately contact the chairwoman of the event to cancel your reservation.

SNEWGA Club Information

All SNEWGA Clubs are required to host a tournament (Invitational or Major) every other year, but may host more frequently if desired.

 

In order to assist the Executive Committee and tournament planners, all clubs are requested to submit their Invitational dates and special event requests no later than the Annual Fall Meeting to the Tournament Coordinator.

Guidelines for Invitational and Majors

All tournaments will be played in accordance with USGA rules unless modified by local club rules.
 

  1. Establish date and contact the SNEWGA Tournament Coordinator immediately to avoid schedule conflicts.

  • Format: 2 ball, better ball, etc.

  • Determine if there will be a rain date (host club decision)

  • Shotgun or tee times

  • No mulligans permitted

Once the date is set, please inform the Public Relations coordinator, as per the PR Guidelines for tournaments. 

  1. Establish Tournament Committee and Chairwoman

1.      Applications

  1. Provide a copy to the SNEWGA rep of every club, the SNEWGA President, the Tournament Coordinator, and the Regional Delegate at least 8 weeks prior to the tournament. Email a copy to the PR and the Website Coordinators

  2. Your Application must include the following:

    • Date, time, format, cost for green fees, carts (mandatory for Majors), food (a $5 entry fee is allowed in addition to all your costs), detail of what is included in the cost, rain date (if applicable), deadline for registration, rules for selecting participants if field size is limited, contact name, contact phone & email, directions to club if not in the book OR they are incorrect or incomplete.  Entry forms should request name, address, club, GHIN #; index, contact phone & email.

2.      Hostesses

  • Greet guests and direct to registration/restrooms/food

  • Arrange for bag drop/bag boys, if possible

  • Act as a guide if tournament is shotgun

3.      Registration

  • Place registration table in accessible location

  • Use current index revision for handicaps

  • Validate all entrants are SNEWGA members and have GHIN cards (use eClubhouse for up-to-date info)

  • Post method to be used for breaking ties (often the Pro will assist you with this)

  • Distribute local rules and marked scorecards to each group or individual, and instruct players to exchange scorecards

  • Distribute pin placement sheets to each competitor for Major events, and when possible for Invitationals 

  • Establish pace of play policy and distribute to each competitor

  • Have extra scorecards and pencils available

4.      Starter    

  • Often the Pro will welcome the group, and review any local rules or unusual circumstances

  • Give instructions as to where scorecards are to be turned in and where and when food will be served and awards will be announced

5.      Refreshments

  • In an effort to keep costs down consider alternatives that will work with the format and type of tournament (e.g., box lunch, snacks and drinks vs. full meal; be creative!)

  • Always be sure to have water and some type of snack available

6.      Flowers/Favors

  • Again, be aware of costs, but often you can do something nice for a small amount or get a local vendor to make a donation.  Favors are NOT required.

7.      Course Inspection

  • Meet with the superintendent prior to the tournament to review that tee markers will be in the proper place and hazards and ground under repair will be well marked, verify pin placements, request pin placement sheets for tournament day(s), etc.

8.      Scores

  • Often the Pro will provide assistance in this area.  Do as much in advance as possible

  • Display sheets with players' names prior to event

  • Ties should be broken in accordance with USGA recommendations: best score the last nine holes, the last six holes, the last three holes, and finally compare the 18th hole.

9.      Prizes

  • Make the prizes equitable (i.e., long drive and closest to the pin should be similar in value), and each flight should have equitable prizes.  Prize levels should be consistent with the type of tournament (invitational vs. major).

  • Distribute prizes to 1/3 of the field

  • Attempt to have the same number of players in each flight

  • Make the 1st low gross and 1st low net prizes equitable and follow this down the line

  • Majors: contact previous winner to ensure that the trophy will be at the tournament to present to the new winner

  1. Tournament Results

  1. The same day as the tournament, (before 5pm for Major tournaments), email the results to the Public Relations Chairwoman and the Website Coordinator.  Please use the Tournament Results spreadsheet or a results file from TPP to submit.

  2. List of winners should include their name, club, home town and score.  For major events please supply the results for all players/teams.  Make sure to include winners of long drive, closest to pin, etc.

  3. Expense report should be sent to SNEWGA Treasurer along with any SNEWGA funds not used.  Any profit shown on the report should be returned to SNEWGA.
     

  1. Miscellaneous

  1. Monitor pace of play.  Use pace of play guidelines for reference.

  2. Spotters and rangers are recommended.  

  3. Try to get resident green fees for tournaments.     

  4. Ask local merchants to donate prizes.

  5. Simple 50/50 raffle can defray some of the costs.

  6. SNEWGA Executive Committee Members and Regional Delegates are available to assist you. 

  7. Please introduce SNEWGA Board members who are present.

  8. Recommend no earlier than 9 a.m. for a shotgun start.
